[Mail exchange before the Luma]

Dear Ms.Yoko Takagi and Ms.Edith and Mr. and Mrs.Edmondson

Thank you very much for your kind cooperation in having the Luma Exchange. This year the meeting to have the Explanation Day to the Junior High School Students was held very late and it was only last Friday that the time table was officially announced to us teachers.

Anyway we greatly appreciate for your kind cooperation and generosity.
I'm very sorry to have given you a lot trouble sending email and fax letter. I could have got Ms.Takagi's emails and fax without any trouble. I'm afraid I have made a mistake in typing my address. So let me send you my addresses again.

....................

Last Monday we had a meeting about what kind of communication activity the students can do and we have planned the following activities;

1. Time Table on 22nd July 1999 Hawaii and 23rd July
The First session starts from 3:20 pm - 4:00 pm Hawaii
and 10:20 am - 11:00 am Japan Choshi
The Second session starts from 4:20 pm - 5:00 pm Hawaii
and 11:20 am - 12:00 pm Japan Choshi

2. The number of the participants

The total number of the students for each session is twenty, and
all the participants belong to the ninth grade (fourteen to fifteen years old) and since our high schoolis a girls'school,
we have no boy students; all of the participants are girls.
We planned to divide them into four groups ( each group will
consist of five students ) so that all of them can have the chance to use English. According to this plan, each group has only five minutes to have the Luma Exchange because of the time limit of 20 minutes for us and you also have only twenty minutes to introduce your students and for the questions and answers allotment.
In order to convey the session efficiently, we are going to prepare pictures and photos and some other material.

3. The Topics of teh four groups

All the participants will choose one of the titles by themselves.
So each group has their own topic.
But we'll try to arrange the number of the students so that all of them have at least a chance to speak English.

The topics are as follows;

Topic 1 "School Life"

Topic 2 "Summer Vacation"

Topic 3 "Culture"

Topic 4 "Japanese Language"

As for each topic the teachers have prepared a handout and the students will choose one or two questions from among the questions of each handout. So after your introduction, please answer their questions and ask your own questions, and we'll help the Japanese students answer it (/ them ).
If the participants of Hawaii side are learning Japanese, then, they can try greetings and questions and answers in Japanese
and the Japanese students will answer in Japanese for your
listening practice.

I'll send the four handout with fax later. If you want us to
prepare some special material, please tell us and we'll try to bring / make them.
This will be the outline of the coming Luma Exchange Session One and Session Two.

4. Luma Number of Choshi Senior High School is

Alternative Phone number is +81 479-22-6906 -
-- but this is usually occupied by school office
By the way, I wonder if you have another telephone number for the Luma Exchange beside the following one; +1 -808 - 539 - 3685
If you have another one, could you email us or send it with fax, please ?

5. Testing the Luma Exchange

The telephone line used by Luma Exchange has had no trouble so far but it is better to make testing before the Luma Exchange. How about making testing twice as follows if it is convenient for you ?

The 1st testing ; the previous day of the Luma Exchange
3:00 pm 21 July (Hawaii Standard Time)
10:00 am 22 July (Japan Standard Time)

The 2nd testing ; just an hour before the Luma Exchange
(last testing) 2:00 pm 22 July (Hawaii Standard Time)
9:00 am 23 July (Japan Standard Time)

Sincerely yours
